1. Ask about your team’s dietary requirements:
Never assume everyone eats the same food. Conference organisers often say their team ‘eats anything’ however that’s most often not the case. Always check and advise your venue in advance of any dietary requirements. Last minute meal requests can mean additional costs for you, delays in serving food and result in people feeling left out.
2. Ensure Transport is Well Organised:
Getting around Waiheke requires careful organisation of transport, but not to worry, we can take care of it all for you! Our top tip when taking the ferry and buses on Waiheke - don’t laugh - make sure that all your team know to use bathroom on the ferry rather than at the wharf. That way, there’s no waiting on stragglers, and you don’t start your team building day running behind schedule.
3. Dress for the weather:
Our NZ climate is changeable. It might be hot or it might be cold or both on one day, so cover your bases and ask your team to always bring a hat and sunnies. Bring sunscreen. If you’re doing activities, bring a jacket and shoes suitable for walking on gravel. Flat shoes are recommended for comfort and practicality.
4. Let us organise the timing:
Leave it to us. We’re experts. We know how long it takes for transfers to and from our venue, and also for lunch and activities. You just need to tell us what boat you’re arriving and leaving on, and how long you plan on meeting for. We’ll do the rest.

5. Don’t order less food to trim the budget:
It sounds tempting to scrimp on food and order 10 platters instead of 15, but for your event to be a success you need the right balance of food, drink and fun! Plus you want to be seen as a generous host and a shortage of food is something that people always notice. The fine print: if you're providing drinks, then providing adequate food is part of your Host Responsibility obligations.
6. Sort out how the drinks will work in advance:
Have a clear idea of $$ if the company is paying for drinks. Is there a cap or limit? Are spirits and cocktails included? These questions are especially important if you’re hosting clients, so sort this out well in advance to avoid embarrassment over who’s paying for what.
If you’re considering a cash bar, it means a much slower service, so you'll want to avoid that if you have a large group. Private functions and Christmas parties work best with a bar tab. We’ll keep you up to date with the spend so that you’re in full control at all times.
