Hours of Operation & Liquor License Restrictions:
Our hours of operation are seasonal - please refer to our website to see our current opening hours. Wild Estate & Wild on Waiheke holds both an On-Premise and Off-Premise Liquor license and we operate a bar and restaurant facility, therefore we do not allow or have a license for BYO. Our On-license operates from 9 am to midnight, 7 days per week (subject to current hours of operation - these hours can be extended within our license restrictions for large prebooked groups of 40+).
BOOKING PROCESS:
Upon enquiring, Wild On Waiheke will send through the package deal that best suits your size group. In addition to this they will either attach a SAMPLE itinerary for an idea of timings, or put together a PERSONALISED itinerary which will be tentatively booked in for your consideration. Unless otherwise stated all tentative reservations will be held for up to 3 days after which the booking will be reopened to the public for purchase on a first in first served basis. We have two booking types including Casual Bookings for groups of 10 or less, and Function Bookings for groups of 14+.
Upon confirming, For Casual Bookings (10 or less) full payment is required for activities, and lunch can simply be selected and purchased from the Restaurant Menu on the day. Bookings are final, and this is what will be charged regardless if less people turn up on the day as we have turned down other clients to reserve this booking for you (See booking numbers below for more information). Online bookings are opened up 3 weeks in advance.
Upon confirming, For Function bookings (>14 pax) a 50% deposit of the full event is required based on your estimated numbers to secure bookings, with payment within 3 days. No booking is confirmed until full deposit is paid. We will request your final guaranteed numbers 3 weeks prior to the event date with your balance invoice adjusted accordingly, and due within 3 days of final numbers received unless otherwise stated (See Booking Numbers below for more information). We allow for maximum 10% variance from your booked numbers - any drop more than 10% will be charged for. Your Guaranteed Number is final, and what is charged regardless if less people turn up on the day, as we will have already completed all administration, including rostering staff, ordering your food, creating activity schedules, plus payment to third party providers on your behalf based on your final numbers provided. Failure to provide Guaranteed numbers within 2 weeks of the event will result in charging your original booked numbers, or cancellation with no refund. Your bar tab is due for full payment on the day - please note as these are one-off events without signed Personal Guarantees or trading terms, we cannot invoice for bar tabs to be charged on account. All bar tabs are to be paid by credit card on the day, with full GST receipt provided upon payment.
BOOKING NUMBERS:
Please estimate carefully. Both Activities & Menu options have minimum and maximum number requirements to enable us to offer them to you. The activity program and number of tables/seats in our Restaurant is reserved for you based on this estimate provided, however we do plan the event based on up to a 10% variance of your original estimated numbers. As above, and final numbers more than 10% variance will be charged. Likewise if numbers increase more than 10% we may not have the capacity. Any additional time, tables/seats, or updates of Menu required will be subject to availability and any price difference will apply. Once the deposit has been paid, should you find your numbers change significantly leading up to the final numbers due date - do get in touch as early as possible as we will endeavor to accommodate you as best we can, however this is subject to a $150 administration fee per change to rework the booking.
BOOKINGS MUST BE ON TIME:
Due to the high demand for our Restaurant & Activities, the confirmed start time & finish time will be confirmed at the time of booking, therefore please arrive 10 minutes prior to check in. For late arrivals, Wild on Waiheke reserves the right to:
Reduce the time of your event (ie if turn up late, your finish time remains as booked)
Charge additional costs to cover extra requirements (this is subject to staff & booking availability and cannot be guaranteed)
Cancel the booking with no refund.
PAYMENT OPTIONS:
All prices are subject to seasonal increases.
Internet Banking: Our preferred payment method, NO card fees apply. Payable to Wild on Waiheke Ltd.
Credit Card: Visa, Mastercard & Amex incur a 3% surcharge via Stripe for Processing Invoice payments, and 1% Merchant fee for bar tabs paid via credit card in the Restaurant.
CANCELLATIONS & AMENDMENTS:
Bookings are final, therefore please be certain before making a booking. We do not offer refunds should you change your mind, as we have then lost the opportunity to resell to others who can attend.
Casual Bookings (<11 pax): Full payment is required at the time of booking for combo activities. Online bookings become available 3 weeks out from event dates. Please note all bookings are final, therefore no amendments or cancellations are available. If you are unsure, then please do not book as others are happy with these terms.
Function Bookings (>14 pax):
All bookings are final, and we will hold a space based on your estimated numbers. 3 weeks out from your event we will request your final numbers, after which no further amendments and Cancellations are available. Key dates incur special conditions (see above). Final payment is due upon receiving your final numbers 3 weeks prior to your event, to a minimum of 2 weeks prior to your event.
KEY DATES - Friday & Saturdays from Mid November to 24th December
The above key dates are extremely popular and limited to Wild Day out Packages. Wild On Waiheke reserves the right to hold presales of key dates for Wild Day Out packages including both Activity and Restaurant bookings over 40 pax.
We will open up any gaps to smaller parties on 31 October. Feel free to let us know if you'd like to be first informed.
Key Dates Cancellation policy - November to December - if for any reason you need to change your originally booked date, and it is outside the 60 days prior to your booking, your option is to credit this booking to another date within 12 months subject to a $150 rebooking fee. Deposits are non refundable, and no date changes accepted within 60 days of your event. N.B Please take your time to carefully gather the final details once requested as due to the high volume of Christmas functions we are assisting with organising, we allocate 1 planning session per event to include Restaurant floor plans, rostering staff, briefing the Restaurant Manager, Head Chef and Head Facilitator, sending out ferry tickets, rescheduling bus sizes (amongst other things) based on what you've provided, so once complete your numbers are unable to be decreased and any updates. Any alterations will be subject to a $150 administration fee per email update where we have the extra time available to do so.
WEATHER CONDITIONS:
We have an all weather venue that can host groups up to 80 guests for activities in our downstairs activity zone.
For smaller groups where the weather does not permit activities to proceed in a safe and suitable environment, we provide a 90% refund [excluding merchant fees] on the activities portion. A 10% fee will be charged to cover staffing and administration. Alternatively, you can reschedule to another date with no fee.
GROUPS OVER 80
As the majority of our activities are conducted outdoors, occasionally the weather may prevent us from running the event in a safe and suitable environment. Wild on Waiheke reserves the right to cancel or postpone activities if they feel the conditions are unsuitable for groups over 80. Alternately we may offer to substitute outdoor activities with indoor activities (subject to group size & space availability). If the Restaurant Manager makes a call that the weather is unsuitable to conduct our activities, and the group is too large to hold indoors; the client will have the following options:
Come for lunch anyway, and if unable to do activities on the day, a credit for the activities portion will be provided to be spent on bar tab on the day, or credit on activities payment to come another day (valid 12 months).
For larger groups where we cannot offer an alternative indoor activity, we offer the option to transfer the full event to an alternate date at no additional cost (Minimum 3 days advance notice required).
TRANSPORT:
Wild on Waiheke Ltd offer the service of booking your ferries & transfers on your behalf to ensure you allow enough travel time for your booking. We do not take responsibility for those who do not adhere to our advice; hence making you late for your booking, including any transport breakdowns or capacity issues. Any such issues should be taken up with the transport provider. We will of course do everything possible to accommodate you on the day, however it cannot be at Wild on Waiheke's expense. If due to unforeseen circumstances the ferries &/or transfers do not run to schedule, we will endeavor to accommodate you as best we can and sometimes this does have a ripple effect on other reservations that follow, so whilst we always endeavor to run to schedule as best we can, we appreciate your understanding if there are slight variances to the scheduled time on the day due to reasons out of our control.
FERRY & BUS T&C's:
Wild on Waiheke Ltd outsource the ferry and transfers on your behalf, therefore prices quoted are subject to price increases outside our control. You must adhere to our suppliers Terms & Conditions as follows:
The consumption of alcohol is NOT permitted on any buses or vans.
Transfers are under NO obligation to carry drunken or disorderly individuals and there may be occasions where they will refuse access to their vehicles by such individuals.
Intoxicated and drunken behaviour will not be tolerated and unruly passengers causing a disturbance will be asked to leave the vehicle and no refunds will be given.
Passengers who are sick in the bus/van or damage equipment on the bus/van will be charged a cleaning fee of $200.00 which must be paid on the spot to the transfer company.
Hen & Stag Group Additional T&Cs
Now we all know there are pre-wedding celebrations, and then there are STAG DO'S. As we are a family venue here at Wild On Waiheke, we just need to ensure we look after ALL our customers. If you're after a relaxed, casual, friendly do with your mates, then you're more than welcome within guidelines. If on the other hand you're wishing to drink heavily, swear excessively, wear lewd costumes, or have strippers - then I'm afraid we're not the right venue for you, there's plenty of other venues for those occasions and we'd prefer to see you another time. Also due to alcohol health & safety regulations we take these groups for morning bookings only, with departure by 2.30pm.
OUR CONDITIONS OF ACCEPTING A HEN/STAG GROUP BOOKING:
All Stag & Hen parties are subject to agreeing to our Terms & Conditions above plus a few extras below:
Prebooked only - no walk in Stag & Hen groups will be accepted (we can't have a venue full of Stag & Hen do's, so I'm afraid it's first in first served on a prebooked basis only)
No excessive swearing (please remember we're a family venue, and one day it could be your kids on the next table)
No lewd costumes
Maximum 20 per group
Morning bookings only, departure by 2.30pm
Please just remember that whilst we do offer these parties, it is our right to turn down any booking we don't feel is appropriate for our venue.
Liquor Licence
Our Liquor Licence is of the utmost importance to us, and must be strictly adhered to at all times. We hold both an On Licence and an Off Licence.
Health & Safety Documents
To help with New Zealand Health & Safety requirements, we have compiled our Health & Safety Policy, along with our Public Liability Certificates. Simply contact us for a copy should you require them prior to your booking. No charges apply to request this information.
Any additional details over and above our Health & Safety Policy required by your company will charged a $50 administration fee.

DATA SECURITY
We have put in place security measures to prevent your personal data from being accidentally lost, used, altered, disclosed, or accessed without authorization. We also allow access to your personal data only to those employees and partners who have a business need to know such data.
